Event Production Checklist: From Venue Booking to On-Site Delivery

Event production brings many moving parts together. A clear checklist helps teams coordinate planning, venue preparation, technical services, and event-day responsibilities.

Start with the event brief

Confirm the event purpose, audience, format, expected attendance, key messages, and working budget. Record the decisions and assign a contact for each workstream.

Confirm the venue and schedule

Review the venue options, capacity, access, technical facilities, setup windows, and operating rules. Build a schedule that includes delivery, installation, rehearsals where needed, guest arrival, and breakdown.

Coordinate design and event services

Bring the event design, construction, lighting, audio-visual, branding, and guest-facing setup into one production plan. Confirm what each supplier provides and when the teams need access to the site.

Prepare for event day

Share a final schedule and contact list with the people working on site. Check that the space is ready, signage is in place, technical systems have been reviewed, and responsibilities are clear.

Close out after the event

Coordinate dismantling and venue handover, collect any outstanding materials, and note lessons for the next event. A documented closeout helps the team keep useful information together.
